How to Sort Dates Correctly in Excel

Select a cell inside your entire data table, then choose Data → Sort Oldest to Newest or Newest to Oldest on the date column.

Quick answer: Select a cell inside your entire data table, then choose Data → Sort Oldest to Newest or Newest to Oldest on the date column. Before sorting, verify that Excel recognizes all entries as real dates rather than text. Expand the selection to include each record’s related columns when prompted; sorting only the date cells can scramble the dataset.

Excel stores ordinary dates as numeric serial values. The display might look like 27 Oct 2026, 10/27/2026 or 2026-10-27, but the displayed format does not tell you whether the cell is a genuine date. Mixed date types and ambiguous day/month conventions are common reasons for an apparently incorrect sort.

Step 1: Protect the original and confirm the table shape

  1. Save a copy of the workbook or duplicate the worksheet.
  2. Ensure there is one header row and no accidental completely blank row breaking the logical data range.
  3. Confirm that each date belongs to a whole record (for example Date, Customer, Amount, Status). Sorting must move those values together.
  4. If the source is a CSV, determine whether its dates use day/month/year or month/day/year before conversion. Do not let ambiguous short dates silently flip meaning.
  5. Select a few cells and inspect their underlying values, alignment and formatting. Text-date values often behave differently from numeric dates even when they look the same.

Step 2: Sort the whole data range

  1. Select a cell in the date column of an Excel table or complete contiguous range.
  2. Choose Data → Sort Oldest to Newest or the reverse command. In full Sort dialog workflows, specify the date column and desired order.
  3. If asked, choose Expand the selection so names, amounts and other fields stay tied to their dates.
  4. Check the first and last five visible entries, and one row in the middle, against the source copy.
  5. Save the sorted copy under a new name if the original chronological sequence matters for audit or reporting.

Step 3: Convert dates stored as text

If the sort is alphabetic rather than chronological, Microsoft recommends converting text dates to actual date values. In a scratch copy, test a cell with =DATEVALUE(A2) (replace A2 with the text-date cell). Successful conversion produces a numeric serial that can be formatted as a date. Copy the formula down only after confirming the parser interprets the month and day correctly. Then copy the results and Paste Special → Values into a separate validated column or working range, apply a Date number format, and sort that column.

Some imports show error indicators and offer a Convert to Date action. That can be convenient for a clearly understood source format. For mixed or ambiguous formats, import again with explicitly chosen locale and date order rather than guessing. Changing Number Format from Text to Date alone may not convert the stored content; the cell may remain text.

Step 4: Handle dates with time and blank entries

A timestamp such as 2026-10-27 09:30 includes a time fraction in its underlying numeric value. Two entries on the same date may therefore sort by time even if the cells are formatted to show only the date. If you want date-only groups, make that an explicit requirement and preserve the original timestamp in a separate column.

Blank date cells can group at one end of a sorted range. Decide whether blanks mean “not assigned,” “unknown,” or invalid data, and consider a separate validation column. Avoid filling blank dates with made-up values merely to improve the order.

Troubleshooting

January appears before dates from an earlier year. The column may be text or a sort was based on displayed month labels. Convert to true dates and sort the date field.

Only dates moved; the names no longer match. Undo immediately, restore from backup if needed, select the complete table and sort again.

Some values become different days. You likely have an ambiguous date convention. Return to the source and explicitly resolve day/month parsing.

A date becomes a number such as 46322. Excel is showing the internal serial. Apply a Date number format after verifying it represents the intended day.

Frequently asked questions

Will changing the date format fix text dates?

Not necessarily. A display format does not always convert text into an Excel date serial.

Can I sort newest first?

Yes. Choose Newest to Oldest and verify the complete row selection.

What about Google Sheets?

This tutorial covers Excel. Sheets has its own sorting and locale controls, so do not assume identical menus.
